Personal data relates to a living individual who can be identified from that data. Identification can be by the information alone or in conjunction with any other information in the data controller’s possession or likely to come into such possession.

St Clere Estate (“We” and “St Clere Estate”) are committed to protecting and respecting your privacy.

This policy (together with our terms of use Terms of Use and any other documents referred to on it) sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us and stored. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it. We may keep certain basic information when you visit our website and recognise the importance of keeping that information secure and letting you know what we will do with it.

We comply with our obligations under the “GDPR” by keeping personal data up to date; by storing and destroying it securely; by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect personal data.

THE PURPOSE(S) FOR WHICH WE USE YOUR PERSONAL DATA

We use your personal data for the following purposes:

  • To enable us to provide a service or fulfil a booking, service or contract
    • To administer permit records
    • To maintain our own reports, accounts and records
    • To inform you of news, events, activities, offers and services available on the “St
    Clere Estate”
    • To make improvements to our services

Filming/Photo Shoots
We collect and use your personal data to enable us to enter into, manage and administer a contract with you.

If you download images from the website or make a filming enquiry your consent to contact you is presumed and we will use your contact details no more than 4 times a year to send you information about St Clere. At any time you can request not to be contacted.  You can manage your email marketing preferences by contacting administrator@stclere.co.uk or by using the unsubscribe link on an email at any time.

Hospitality Functions: Corporate Events/Weddings
We collect and use your personal data to enable us to enter into, administer and manage any hospitality bookings or arrangements including the underlying contractual arrangements between us.

If you are visiting us as a hospitality attendee, we may collect and use your personal data to manage your visit/attendance.

We may ask you to answer some questions or complete surveys that we use for research purposes, although you do not have to respond to them.

Should the event be organised by St Clere Estate, we may also ask to process limited dietary data as part of your attendance and participation in such events.

If your event is taking part at the St Clere Estate address we will pass your personal data including your name, telephone, email, event(s) booked, to our catering partner for the purposes of performing our contract with you only, if catering is arranged by St Clere Estate.

We will only send you marketing and promotions if you provide consent to do so.

We may ask you to answer some questions or complete surveys that we use for research purposes, although you do not have to respond to them.

We may also ask to process limited dietary data as part of your booking.

We will only send you marketing and promotions if you provide consent to do so or you are a previous customer/enquirer to whom we will send priority booking notices.

Catering Based Events (i.e. Garden Tours & Afternoon Teas)
When you choose to book for a catering based event we will process your personal data in order to enter into, administer, manage and perform that contract with you.

We may, for specific events, also ask to process limited dietary data as part of your attendance and participation in such events.

Please note that we will pass your personal data including your name, telephone, email, event(s) booked, to our catering partner for the purposes of performing our contract with you only.

We will only send you marketing and promotions if you provide consent to do so.

As a Tenant

When you enter into a tenancy/licence agreement we will process your personal data in order to enter into, administer, manage and maintain our agreement with you.

We will send rent review, repair and other information relating to the tenancy emails to your email address or via telephone or letter.

As an Annual Permit Holder
We collect and use your personal data in order to enter into, administer and manage your use of the Estate including managing and performing the underlying contract with you.

We will send renewal reminders to your email address. You can opt-out of receiving these from the link in the footer in your emails

CCTV Usage
Please note that on the “St Clere Estate” we use CCTV and surveillance cameras which capture personal data about visitors to our site. This is for the prevention and detection of crime and for protecting the safety and security of our visitors, guests and staff whilst at “St Clere Estate”.

Marketing and Promotions
We may use your personal data to provide you with marketing information including news, events, activities, offers and services on the “St Clere Estate”.

Please note that we will only do this where you have given us your specific consent to do so. This will be done if you have opted in to receive email communications at the point of registration or making your booking.

We may invite you to complete surveys or provide us with feedback. You can choose not to take part.

We do not share your information with any other third party for marketing purposes unless disclosed at the time of opt-in.

HOW LONG DO WE RETAIN YOUR INFORMATION?

We will only retain your personal data for a reasonable period; after you have stopped being an active prospect, customer or supplier and as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

This includes information provided at the time of making a booking, subscribing to our permits, enquiring about a job role, enquiring about an event, enquiring about a property or requesting information on other products and services.

If you contact us, we may keep a record of that correspondence.

With regard to each of your visits to our site we may automatically collect the following information via Burst Statistics:

Technical information, including the Internet protocol (IP) address used to connect your computer to the Internet, your login information, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform.

Information about your visit, including the full Uniform Resource Locators (URL) clickstream to, through and from our site (including date and time); products you viewed or searched for; page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), and methods used to browse away from the page and any phone number used to call our customer service number.

Our insurers where necessary in connection with our insurance cover and provision.

We may pass your personal data to our third party service providers, agents, subcontractors and other associated organisations for the purposes of completing tasks, property repairs and providing services to you that we have agreed to provide.

When we use third party service providers, we disclose only the personal information that is necessary to deliver the service and we have a contract in place that requires them to keep your information secure and in to keep in accordance with the requirements of the “GDPR” and not to use it for their own direct marketing purposes.

We may transfer your personal information to a third party as otherwise permitted by the “GDPR”, for example to our legal advisors or in order to comply with a legal requirement or obligation placed on us by law.

We may transfer CCTV to a third party security organisation (e.g. Police) in respect of any connection with a crime or security issue.

  • There are certain third parties with whom we have to work closely (including, for example, business partners, professional advisers, sub-contractors in technical, payment and delivery services, advertising networks, analytics providers, search information providers, credit reference agencies) and we may receive information about you from them.
